Data Deletion Policy

1. Overview
This Data Deletion Policy explains how account holders and data subjects can request removal of personal data processed by Autobot360-PG Manager. It supplements our Privacy Policy.
2. Who can request deletion
- PG owners — delete your entire account and associated business data
- Staff users — request removal from assignments; owners may delete staff access
- Tenants — contact your PG owner first; they control tenant records in the system
- Former tenants — request deletion via the PG owner or directly to us with proof of identity
3. What you can delete yourself (dashboard)
- Individual tenants, visitors, expenses, and complaints
- Uploaded KYC documents (per tenant)
- Properties and rooms (when no longer needed)
- Payment proofs after review
- Staff assignments and invites
Owners should export any records they need for legal or tax purposes before deletion.
4. Full account deletion
To permanently delete your owner account and all linked data managed under it:
- Email support@autobot360.com from your registered account email
- Subject line: "Account deletion request"
- Include your full name and registered email
- Confirm you understand deletion is irreversible
We will verify ownership, cancel active Razorpay subscriptions where applicable, and delete or anonymize data within 30 days, unless retention is required by law (e.g. tax, fraud prevention, or ongoing disputes).
5. Tenant document upload links
Temporary KYC upload tokens expire automatically. Uploaded files stored in Supabase storage can be removed by the property owner from the tenant profile, or by us upon verified tenant request sent to support@autobot360.com with tenant name, PG name, and ID proof.
6. Payment & invoice records
Invoice and Razorpay transaction metadata may be retained for accounting and chargeback resolution even after tenant records are deleted. We minimize retention to what is legally and operationally necessary.
7. Backups
Deleted data may persist in encrypted backups for up to 90 days before being overwritten. Backups are not used to restore deleted accounts except for disaster recovery.
8. Data processed by third parties
Deletion on our platform does not automatically delete data held by Razorpay, Twilio, Google, or email providers. We will assist with reasonable requests to those processors where we have control.
9. Denied requests
We may refuse or delay deletion if required to:
- Comply with law enforcement or court orders
- Resolve billing disputes or chargebacks
- Protect the security and rights of other users
- Verify the identity of the requester
